Thank you for choosing to book with Bay Tree Guest House. When you make this booking you are entering into an agreement with us. Please read our terms and conditions of booking below.


Bookings
We rarely accept one night bookings on a weekend at any time of the year. Single night bookings on weekdays are subject to availability and only accepted after direct contact with the Bay Tree Guest House.


Easter weekend and the Ebor race meeting are a minimum stay of 3 nights.


Payment
A valid credit or debit card is required at the time of booking, details of which act as security for the reservation. The full amount due is payable on departure by any of the following methods: Sterling Cash, Debit Card or Credit Card. We do not charge a supplement for payment by debit/credit cards.


Arrival
Our check-in time on a morning is from 10.00-12.00. Please note that your room may not be ready during this time although we can issue keys and a parking permit. Luggage may also be left with us.

Afternoon check-in time is from 17.30-22.00. Arrival outside of the above times must be agreed at the time of booking. If no arrangement has been made and you fail to check in between the above times, your booking may be treated as a no show. Please see our cancellation charges below.


Departure
Please be ready to leave your room by 10.00 on the day of departure, unless otherwise arranged. Your bill for the accommodation and any extras provided during your stay is payable on departure. Luggage can be left at the guest house by arrangement.


Cancellation and Insurance
Once you have booked your stay, our agreement is a legal contract. If you need to cancel please contact us immediately.

For cancellations made more than 4 weeks in advance of the stay, we will refund your deposit minus a 10% handling charge. Any cancellations made less than 4 weeks in advance of the stay will also be refunded if the room can be re-sold minus a 10% handling charge. If this is not possible, the deposit will be withheld.


For failing to take up the booking without cancelling you will be liable for the total amount.


If you need to curtail your stay earlier than planned, we will not issue a refund unless exceptional circumstances apply.


For this reason you may wish to take out cancellation insurance, which is inexpensive and can be obtained from any good broker.


Non-availability
We would only cancel your booking if your accommodation was unavailable for reasons beyond our control. We would make every attempt to find you alternative accommodation, however if this was not possible, or unacceptable to you, then we would refund any monies paid by you. Our liability would not extend beyond this refund.


Damages and Breakages
You are staying in our home so please do take care with our accommodation. You are responsible and liable for any breakages or damages which you cause to the accommodation or its contents. Please report these as soon as they occur. We do not normally charge for minor breakages, but we may send you an invoice for repair or making good if the damage or breakage is significant.


Liability
We do not accept any liability for any damage, loss or injury to any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves or our employees or contractors whilst acting in the course of employment.


Data
Any data gathered during the course of this booking may be held on our computer. We do send out an annual Christmas card to our regular guests but we do not pass on any details to any other party. Please let us know if you do not want to be contacted by us.


No Smoking
We adopt a strict No Smoking policy in all internal and external areas of the guest house.
